You’ve been granted a place in a student hall of residence for the 2026/2027 academic year and wondering what’s next? Below you’ll find the most important information about the next steps you should take to get ready for the accommodation procedure, complete the necessary formalities, and smoothly start the new academic year.

Great! All you need to do is pay the reservation fee — nothing else is required.
Not exactly what you were hoping for?
You can try to swap your place through the dormitory place exchange in the USOSweb system. You’ll find the exchange option in the same section where you submitted your application for a place in the student hall of residence. The exchange platform is very easy to use. Example: if you want to swap a place in the Dormitory no. 1 (DS1) for a place in Dormitory no. 7 (DS7), there needs to be someone who got a place in the DS7 and wants to move to the DS1.
Important! The Student Welfare and Support Office DOES NOT handle dormitory place exchange!
Reservation fee
What’s the reservation fee all about? Let us explain!
Everyone who has been granted a place in one of the UW’s Student Halls of Residence must make the reservation fee payment within the specified deadline. It serves as confirmation that you truly want to take up the place allocated to you.
🔔Please note! In the 2026/2027 academic year, the rules regarding the reservation fee depend on whether you are already residing in a dormitory or will be accommodated for the first time. Detailed information can be found in the Rules and Regulations of the Student Halls of Residence at the University of Warsaw, in particular in § 20, which sets out the rules for paying the reservation fee.
Check which option applies to you:
It is possible to apply for transferring the reservation fee to the upcoming academic year. To do this, you must submit a relevant application to the dormitory manager at least three working days before the reservation fee payment deadline. Remember! The manager may refuse to transfer the fee if you are in arrears with your payments or have not paid for any damages caused.
In this case, the reservation fee cannot be transferred. To secure the new place, you must pay a new reservation fee. The reservation fee for your previous place will be refunded once the dormitory check-out procedure is completed, in accordance with the Rules and Regulations of the Student Halls of Residence at the University of Warsaw.
Payment of the reservation fee is required to confirm your place; without this payment, accommodation won’t be possible.
🔔 Important! The reservation fee also serves as a deposit.
It means you will not incur any additional charges during the accommodation procedure. The deposit will be refunded, in accordance with the Rules and Regulations of the Student Halls of Residence at the University of Warsaw, no later than 10 days after you check out.
However, suppose you check out earlier than one month from your accommodation date or the start of the academic year (whichever is later). In that case, the reservation fee will not be refunded and will be forfeited. The exception is if, within 7 days of checking out, you move into another University of Warsaw dormitory and pay a new reservation fee.

Important practical information:
- Rooms are assigned by the dormitory administration during the accommodation process. Most rooms are double occupancy, and students are generally accommodated accordingly.
- During accommodation, please remember to bring two photos and an identity document (such as an ID card or passport).

- Remember! Failure to accommodate within the deadline will result in the loss of your reservation fee and your place in the dormitory.
Certificates for visa purposes
To obtain a certificate required for visa application proceedings, please complete this ➡️form.
Certificates are prepared and issued on working days only.
Please note: processing time is up to 5 working days from the submission of a complete application form. Saturdays, Sundays, and public holidays are not counted toward the processing period. Applications submitted outside office hours are treated as having been submitted on the next working day. Please take the certificate processing time into account when planning the submission of your visa application.
Processing time–examples
- If the form is submitted on Friday at 16:00 (outside the office’s working hours), the application will be treated as having been submitted on Monday, and the certificate will be issued no later than 16:00 on the following Monday;
- If the form is submitted on Monday at 12:00 (during the office’s working hours), the certificate will be issued no later than 16:00 on the following Monday;
- If the form is submitted on Wednesday at 10:00 (during the office’s working hours), the certificate will be issued no later than 16:00 on the following Wednesday.
Certificates are issued in Polish only, exclusively in electronic form, and are signed with a qualified electronic signature. This form of the document is accepted by diplomatic missions and meets the requirements for visa application procedures.
Please note: a detailed certificate confirming the allocation of a place in a specific student hall of residence and indicating the applicable accommodation fees can only be issued after a dormitory place has been allocated and the reservation fee has been paid. In all other cases, it is possible to obtain a certificate confirming eligibility to apply for accommodation in one of the University of Warsaw student halls of residence.
