All you need to know about the Rector’s scholarship – summer term 2024/2025

From 28 February to 14 March 2025 you may apply for the Rector’s scholarship for the summer term of the 2024/2025 academic year.
Therefore, we have put together the most important information related to the application process and we hope this entry will help you understand the procedure.
[Deadline]
To apply for the Rector’s scholarship, an application must be submitted by 14 March 2025, this being the deadline. An application submitted after the deadline will be left without consideration.
[Who can apply?]
The application process for the Rector’s scholarship in the summer term of the academic year 2024/2025 will be conducted only for students majoring in:
- Chemistry – second-cycle studies;
- Medicinal chemistry – second-cycle studies;
- Applied chemistry – second-cycle studies;
- Applied geology – second-cycle studies;
- Interdisciplinary Individual Studies conducted by the College of Inter-faculty Individual Studies in Mathematics and Natural Sciences – second-cycle studies;
- Computational engineering – second-cycle studies;
- Nanoengineering – second-cycle studies;
- Physics (Studies in English) – second-cycle
[How to submit an application?]
As a rule, applications are submitted in USOSweb. In particularly justified cases – i.e. when technical errors make it impossible to submit an application as an electronic document in USOSweb – an application with documented achievements may be submitted in paper form. If a paper application is required, the documents must be submitted to our office. Also in the case of paper form, the deadline of 14 March 2025 is binding. This does not change the fact that the default form of submission is electronic – in USOSweb.
IMPORTANT: It is only possible to submit a paper application if it is cannot be submitted electronically in USOSweb due to technical obstacles.
Submitting an application in USOSweb is very simple. After logging into USOSweb, select the tab Common section, then Applications, and select the application you want to fill in (the same path applies for social scholarship and allowance aid).
Once you have filled in all the required fields and attached the relevant documents, you will receive an authorisation code by e-mail. Once this code is entered and accepted, the status of the application will change from ‘filled in’ to ‘delivered’. Once the application has been submitted, no further changes can be made – all that remains is to await a comment from the coordinator and then a decision.
[Objections]
This is an issue that becomes a subject of a lot of discussion every year, so we want to explain what this is all about. Once your application has been verified by the coordinator, a comment on it will indicate its assessment and the possibility of raising any objections within the deadline indicated by the coordinator.
IMPORTANT: objections submitted after the deadline indicated by the coordinator will not be taken into consideration.
The purpose of objections is to enable all those who have submitted their applications to participate actively in the competition procedure, so that you can raise doubts about the evaluation of your application and the achievements indicated in it. All objections should be e-mailed at: bpm@uw.edu.pl.
Examples:
- The deadline for raising objections is 3 working days and expires on 28.03.2025 (Friday).
This means that the deadline for raising objections is Friday (28.03.2025) at 11:59:59 p.m. CET.
- The deadline for objections is 3 working days and will expire on 31.03.2025 (Monday).
This means that the deadline for objections is Monday (31.03.2025) at 11:59:59 p.m. CET, so you can send an email even at the weekend.
The essential thing is to keep to the deadline for raising objections that has been indicated by the coordinator, so that you can indicate your concerns and objections within the allotted time.
If you do not agree with your grade point average on the application, your objections should be communicated directly to the coordinator from your teaching unit (see below for a list) and additionally to our office (CC: bpm@uw.edu.pl). You should attach a spreadsheet indicating the grades which, in the your opinion, should be included in the grade point average and the expected grade point average.
If you do not agree with the assessment of other achievements that have been included in the application, objections should be communicated directly to our office (bpm@uw.edu.pl). Indicate in the message what you disagree with or describe your concerns.
[Assessment of achievements]The assessment of individual achievements is made during the application process and not prior to submission. We therefore encourage you to read the Rules of students’ benefits at the University of Warsaw, in particular Exhibit no 3, § 6–10, which provide detailed information on achievement scoring with all the criteria.
[Completion of achievements]There are two options:
Completion of applications by 14 March (by 3:30 p.m. CET)
If you submit your application for the Rector’s scholarship by the indicated deadline and later notice that something has been omitted or not completed by mistake, you can make a correction.
In this situation, please email us immediately at: bpm@uw.edu.pl, and we will allow you to edit your already submitted application.
IMPORTANT: Once you have made the relevant changes, please remember to resubmit your application. This must be done by 14 March 2025 at the latest, which is the deadline. After this date you will no longer be able to do so.
Completion of applications from 15 March
If you submit your application for the Rector’s scholarship by the indicated deadline, but include documents insufficient for assessment of the achievements indicated in your application, you may be asked to complete the missing documents.
After the coordinator has verified your achievements, you may be asked to supplement the necessary information. Remember that the coordinator will always indicate which achievements are not fully documented, which elements need to be completed and will indicate the deadline for submitting the documents.
You will receive the deadline for completing the documents directly in the message from the coordinator, so documents submitted after the indicated deadline will not be taken into account.
IMPORTANT: It is not always possible to complete documents after the deadline for submitting the application. If your application is missing essential documents in accordance with the Rules on students’ benefits at the University of Warsaw, it may happen that you will not receive a message regarding the completion of your application, which may consequently result in no points being awarded for the achievement. Therefore, it is important to carefully check all documents submitted as evidence of each achievement.
The required documents in the Rector’s scholarship application procedure can be found in § 10 of Exhibit no 3 of the Rules on students’ benefits at the University of Warsaw.
[How are points for the grades average and additional achievements calculated?]
To calculate the points for the grade point average obtained (Criterion I), the coordinators use the following formula:
Lp = 100*(average_grade – 4.00), where: Lp = Number of points
Examples:
If your average is 4.49, the coordinator will award you 49 points.
If your average is 3.99, the coordinator will award you 0 points.
If your average is 5.00, the coordinator will award you 100 points.
A detailed scoring of additional achievements (Criteria II–IV) can be found in Exhibit no 3 of the Rules on students’ benefits at the University of Warsaw. The relevant sections, § 6–10, provide comprehensive information regarding all the criteria.
[Average and achievements – for what period?]
Rules on students’ benefits at the University of Warsaw indicate that the Rector’s scholarship may be awarded on the basis of:
- outstanding academic performance in the previous stage of study or
- academic, artistic or sport achievements in the previous semester, provided that the student has progressed to the next stage of study.
For students in the first year of second-cycle studies, the scholarship may also be awarded on the basis of outstanding academic results in the final year of first-cycle studies, or academic, artistic or sport achievements obtained in the previous semester, provided that they commenced second-cycle studies within 12 months of completing first-cycle studies.
