Everything you need to know about applying for the Rector’s scholarship – summer term 2025/2026

From 2 March to 16 March 2026, it is possible to submit an application for the Rector’s Scholarship for the summer semester of the 2025/2026 academic year.

With this in mind, we have put together the key information about the application process and sincerely hope it will help you better understand how it works.

[Deadline]

To apply for the Rector’s Scholarship, you must submit your application by 16 March 2026. This deadline is strict and cannot be extended.  The application submitted after the deadline shall be left without consideration!

[Who can apply]

In the summer semester of the 2025/2026 academic year, the Rector’s Scholarship will be available only to students enrolled in the following Master’s degree programmes:

  • Biological Therapeutics;
  • Chemistry;
  • Medical chemistry;
  • Applied chemistry;
  • Applied geology;
  • Individual inter-area studies offered by College of Inter-Faculty Individual Studies in Mathematics and Natural Sciences;
  • Computational engineering
  • Nanoengineering;
  • Physics (Studies in English).

[How to submit an application?]

As a rule, applications must be submitted via the USOSweb system.

Submitting your application via the USOSweb system is very straightforward. After logging in, select the “Common section” tab, then “Applications”, and choose the relevant application from the list (the same path applies when applying for the social scholarship or financial aid).

Once you have completed all the required fields and uploaded the necessary supporting documents, you will receive an authorisation code at the email address you provided. After entering and confirming the code, the status of your application will change from “in progress” to “submitted”. Please note that once the application has been submitted, no further changes can be made. You will then need to wait for comments from the Coordinator and, subsequently, for the final decision.

In particularly justified cases (e.g., due to technical issues preventing electronic submission via the USOSweb system), it is possible to submit the application, together with documented achievements, in paper form. If you need to apply in paper form, the documents must be submitted to our office. Please note that the deadline of 16 March 2026 also applies to paper applications. However, the default and preferred method of submission is electronic, via the USOSweb system.

Important: A paper application may only be submitted if it is not possible to apply through the USOSweb system!

[Appeals]

This is an issue that gives rise to many questions each year, so we would like to explain how the process works in a little more detail. Once your application has been reviewed by the Coordinator, a comment will be added to your application indicating the assessment result and whether you may submit an appeal within the deadline specified by the Coordinator.

Important: Appeals submitted after the deadline indicated by the Coordinator cannot be considered.

The purpose of the appeals procedure is to ensure that all applicants can actively participate in the selection process. During this stage, you may raise any concerns regarding the assessment of your application and the achievements listed in it. All appeals should be submitted by email to: bpm@uw.edu.pl

Example scenarios

  1. If the deadline for submitting an appeal is 3 working days and falls on 27 March 2026 (Friday),
    this means that the final deadline for submitting your appeal is Friday, 27 March 2026 at 23:59:59.
  2. If the deadline for submitting an appeal is 3 working days and falls on 30 March 2026 (Monday),
    this means that the final deadline for submitting your appeal is Monday, 30 March 2026 at 23:59:59. Therefore, you may still send your email over the weekend.

It is essential to meet the deadline set by the Coordinator for submitting an appeal, so that any concerns or objections can be raised within the specified timeframe.

If you disagree with the grade average shown in your application, your appeal should be sent directly to the Coordinator of your teaching unit (a list of Coordinators can be found below). Please also copy the BPM Office (bpm@uw.edu.pl ) into the email and attach a spreadsheet indicating which grades, in your view, should be included in the calculation of the average and what you believe the correct average should be.

If you disagree with the assessment of any other achievements included in your application, your appeal should be sent directly to the BPM Office (bpm@uw.edu.pl ). In your email, please clearly indicate which part of the assessment you disagree with and describe your concerns in detail.

[Assessment of achievements]

The assessment of individual achievements is carried out during the application review process, not prior to submission. We therefore strongly encourage you to get acquainted with the Rules and Regulations on Student Benefits at the University of Warsaw, in particular §§ 6–10, which set out the points system for achievements, together with the relevant criteria and detailed requirements.

[Providing additional documentation for achievements]

In this context, it is important to distinguish between two situations:

  • Making changes to applications by 16 March (until 15:30)
    If you submit your application for the Rector’s Scholarship within the specified deadline and later realise that something has been omitted or completed incorrectly, you may request a correction.
    In such cases, please contact us without delay at bpm@uw.edu.pl, and we will enable editing of your submitted application.

IMPORTANT: After making the necessary changes, you must resubmit your application. This must be done no later than 16 March 2026 (the final day of the application period). After this date, no further edits will be possible.

  • Making changes to applications from 17 March onwards
    If you submit your application on time but attach insufficient documentation to allow for the assessment of a declared achievement, you may be asked to provide additional documents.

After reviewing your achievements, the Coordinator may request the necessary supplementary information. Please note that the Coordinator will always specify which achievement is incomplete, what information or documents need to be provided, and the deadline for submitting them.

You will receive the deadline for submitting additional documents directly from the Coordinator. Documents submitted after the indicated deadline will not be taken into account.

IMPORTANT: It is not always possible to supplement documentation after the deadline. If key documents required under the Rules and Regulations are missing from your application, you may not receive a request to provide additional documents. As a result, no points may be awarded for the given achievement. For this reason, it is essential to carefully check that all required documents have been attached as evidence for each declared achievement.

[How are points calculated for your grade average and additional achievements?]

To calculate the number of points awarded for your grade average (Criterion I), Coordinators apply the following formula:

NoP = 100*(average_grade – 4.00), where: NoP = Number of Points 

Example scenarios:
If your grade average is 4.49, you will be awarded 49 points;
If your grade average is 3.99, you will be awarded 0 points;
If your grade average is 5.00, you will be awarded 100 points;

This document is available in the  Monitor of the University of Warsaw [Monitor UW].  The relevant provisions concerning the points system for additional achievements, including detailed criteria, are set out in §§ 6–10.

[Grade average and achievements – which period is taken into account?]

With regard to the period considered for the grade average and achievements, the Rules and Regulations state that the Rector’s Scholarship may be awarded on the basis of:

  • outstanding learning outcomes for the last year of the studies, or
  • scientific, artistic or sports results or achievements obtained in the previous semester,

provided that the student has completed a given stage of studies and has been enrolled for the subsequent stage of studies.

For a first-year student of the second-cycle studies, the scholarship may also be awarded on the basis of outstanding learning outcomes in the final year of first-cycle studies, or on the basis of scientific, artistic or sports achievements obtained in the previous semester, provided that the student commenced the second-cycle studies within 12 months of completing the first-cycle studies.
