Everything you need to know about applying for dormitory space – 2026/2027 academic year [DOCTORAL CANDIDATE]

Who can apply for a place in a UW dormitory?

All UW doctoral candidates have the right to apply for a place for themselves, as well as for their children and spouse or partner.

Currently, we do not accommodate doctoral candidates from other universities for the new academic year—if this changes, a separate announcement will be published, but not earlier than mid-October 2025.

If you are already living in one of our dormitories, will continue your doctoral education, and would like to continue living in the same place, you do not need to submit an application. Instead, fill in the form to extend your accommodation. The form must be completed by 28 June 2026.


Application deadlines

Two rounds of application and processing have been scheduled:

  • Round I for current doctoral students who have not extended their accommodation—applications will be available from 8 June to 28 June 2026,
  • Round II for those admitted to the doctoral school in 2025/2026—applications will be available from 3 August to 19 August 2026.

You will be able to apply for a place in halls of residence by the indicated deadline; then the possibility to apply will be switched off, and all applications will be considered.

Applications will be verified on an ongoing basis—if we find any deficiencies in your application, we will inform you by email via a comment on your application in USOSweb. We encourage you to submit your application as soon as possible, as this will increase your chances of rectifying any deficiencies.

It will be impossible to submit an application after the indicated deadlines. Don’t put applying off! The second round of applications will be available ONLY for those who begin their doctoral studies at UW in the 2026/2027 academic year.

After the rounds are completed, a waiting list will be launched (the rules for allocating places and a link to the list will be published in a separate post).


New rules

Compared to last year, the rules for allocating places in halls of residence have changed. Below is the most important information on how to apply. We encourage you to read this information before submitting your application.

When to file an income statement?

The income statement should be filled out only by those whose per capita family income does not exceed 2779,60 PLN.

Spoiler title

Doctoral candidates whose income entitles them to a social grant will be given priority for accommodation in student halls of residence. This rule does not apply to persons who are not citizens of EU and EEA member states.

If you do not get a place based on the above criterion, you can apply for a place based on the scores of additional criteria. In the application, you will find a broad catalog of prerequisites considered when awarding seats.

What if the above documents are in another language?

The documents should be translated into Polish.

When more than one person has the same number of points, and the number of places does not allow for awarding them to each person, the distance from the place of residence will be taken into accountthe place will be given to the person who lives farther from the University.


How to apply

Step 1: Log in to USOSweb UW—usosweb.uw.edu.pl (please use central USOSweb, not departmental installations). Report the inability to log in to the secretariat of your doctoral school.
Step 2: Select the ‘Common Section’ tab, and then ‘Applications’.
Step 3: In the list of available applications, select ‘Housing application 2026/2027’ and then ‘Start filling’.
Step 4: Select one of the available fields:

Unit Places: The Office for Persons with Disabilities (BON) (for those with a disability or a chronic illness), or
Unit Places: Welfare and Support Office
(for doctoral students).

Step 5: Select the criteria that apply to you. Some of them require you to add a supporting documentsee the table above for information on which document to add.
Step 6: Rank the dorms in order from the one you would most like to live in to the one you would least like to live in. Moving the boxes may be impossible or difficult on touch screens.
Step 7: This is almost the end. At this stage, approve the application by selecting ‘Next: Sign and submit electronically’.
Step 8: Enter the authorization code to approve your application. At the top of the screen, you will see what email the code was sent to. Sometimes the email with the code goes to Spam, or you have to wait a few minutes for it.
Step 9: After entering the code, an annotation ‘Delivered’ should appear next to your application; this means the application has been submitted and will be verified. The absence of such an annotation means the application has not been successfully delivered. The status of the application will change over time, and you will be notified each time by a USOS email.

Remember:

  • until the application is finally approved, you can go back to earlier fields and modify them;
  • you can save the application at any stage and return to edit it later, but don’t forget to submit it on time.

Important notes

Don’t put applying off. For current PhD candidates, only the 1st round will be available; the next chance to get a place will be to sign up to the waiting list.

Student Welfare and Support Office does not grant access to USOSweb for those newly admitted to UW. Access issues should be inquired about at your teaching unit (doctoral school).

Application can only be submitted via USOSwebpaper-delivered applications will not be accepted.


Frequently Asked Questions

[Questions about submitting an application]

I am extending my training at the doctoral school, am I entitled to dormitory accommodation?

Yes, you are entitled to accommodation as long as you have doctoral status.

Is it possible to apply without access to USOSweb?

Unfortunately, no other application form is provided. For USOSweb access, you should report to the teaching unit (department, etc.) where you will be studying.

USOSweb displays the message ‘No applications are currently available.’ What can I do in this situation?

This message appears when there is no information in the system that you are an active student in any of the programmes. It may therefore appear when you have already completed a given field of study or have not yet been entered into the system for a new one. If you have not yet been entered into a new field of study, contact the relevant office or secretariat at your faculty.

Is it possible to submit an application outside the scheduled rounds?

Unfortunately, no, after the end of the round, the application will be closed. If you do not apply, you will be able to use the waiting list, which will be launched in September.

I’m finishing my bachelor’s degree this year and intend to study for a second degree at UW. In which round should I apply?

You can apply in both Round 1 and Round 2; however, we recommend applying in Round 1 as it increases your chances of getting a place. You must submit your application no later than one day before your bachelor’s thesis defense, because you will lose access to USOSweb on the day of the defense.

I plan to apply for admission during the September round. How can I apply for a spot in that case?

If you are a newly admitted student at the University of Warsaw, sign up for the waiting list, which we will launch on our website in September (a separate announcement will be posted). If you are currently a student at UW and plan to apply for another program in September, consider applying during the first round.

I am going away in the winter term as part of the Erasmus programme. Should I apply for student accommodation now?

No, if this is the case, please email us in January—we will then indicate available places in the student residences.

Where can I indicate that I want a single room?

You do not select the room type during the application process—the dormitory administration will assign rooms upon check-in. Please note that most rooms are double rooms.

What should I enter in the ‘Uzasadnienie’ (‘Justification’) field?

There is no need to justify your application. The content of this field is not verified—room assignments are determined solely by point criteria.

I don’t meet any of the criteria (i.e., I have zero points). Is it possible to get a spot with zero points?

Yes, you can apply even if you do not meet any of the criteria. In such a case, places may be awarded to applicants if there is a vacancy. However, the number of applications usually exceeds the number of available places, so the point threshold is higher than 0.

Does the application need to be printed and delivered/sent to the Student Welfare and Support Office?

No, submitting the application in USOSweb is sufficient— the entire procedure is done online.

[Questions about documenting an application]

Do I need the original documents referred to in the table?

No, scans or clear photos attached to the application in USOSweb are sufficient.

What should I do if I don’t have a set of documents?

We suggest submitting an application even without a complete set of documents—in the verification process, the coordinator will ask you to complete them. You will be notified at the email address provided in the application.

How much time will I have to complete the application?

The deadline will be specified by a coordinator in the application comments section and will be at least 7 days.

What happens if I don’t complete the application by the deadline?

The application will be reviewed, but no points will be awarded for the criteria where deficiencies were identified.

Is information about my income needed?

If you are currently receiving a social scholarship (or did receive it in the winter semester), you do not need to fill out an income statement. The income statement should only be filled out by those who:

  • did not receive a social scholarship in the 2025/2026 academic year, and
  • receive per capita income in the family of less than or equal to 2779,60 PLN.

If my family per capita income exceeds 2779,60 PLN, should I fill out an income statement?

In this case, it is not necessary to fill out an income statement; no points will be awarded in this category for income exceeding PLN 2779,60 per person in the family.

What if my family per capita income does not exceed 2779,60 PLN and I do not receive a social grant?

In this case, we recommend you fill out an income statement. If your income calculation is confirmed, you will be granted 120 points. If the statement is not submitted, the application will be considered, but points in this category will not be awarded.

Does only the social scholarship from UW count?

Scholarships awarded at other educational institutions are also honored. Remember to provide the scholarship decision then.

I received a social scholarship in 2025/2026. Do I have to fill out an income statement?

It is not necessary; moreover, you are in the group of people who receive a place in the first place.

Does the receipt of an allowance entitle the beneficiary to benefit from the premise of benefits supporting people in financial difficulties?

No, the criterion of a student who receivedin the case of persons enrolled in the first year of first-cycle or long-cycle studiesa school scholarship or other benefits in the nature of support for a person in a difficult financial situation in the school year preceding the academic year for which a place in a student hall of residence is to be granted applies only to students enrolled in the first year of first-cycle or long-cycle studies. It was introduced so that the regulations would reflect the forms of support from which a person could benefit (those beginning their education could not receive a maintenance grant, etc.).

Examples of benefits supporting people in a difficult financial situation include the use of the Alimony Fund.

Can a NAWA scholarship be recognised as a maintenance scholarship or a ministerial scholarship?

No, only the scholarships listed in the regulations are scored, ie:

  • Social scholarship and increased social scholarship,
  • Rector’s scholarship,
  • scholarship of the President of the Council of Ministers,
  • scholarship of the minister competent for education and upbringing for outstanding educational achievements,
  • scholarship of the minister competent for culture and national heritage protection for artistic achievements.

In view of this, additional points for the scholarship are also not available to those receiving a doctoral scholarship.

[Questions about decisions on the application]

Can I appeal a decision to deny me a spot?

There is no appeal process. A spot may be denied for two reasons: insufficient points and a shortage of available spots, or a violation of the dormitory rules in previous years. The reason for the denial is indicated in the comments section of your application.

Can I decline a place that has been offered to me?

Yes, if you are offered a place, you will have the option to decline it. Before paying the reservation fee—without any consequences (please notify us of your withdrawal by email: bpm@uw.edu.pl). Withdrawal after paying the fee results in forfeiture of the fee.
