A few words about the rector's scholarship
The Rector’s scholarship is awarded in the form of a competition procedure, in which the documented achievements indicated by the doctoral student in the application for the scholarship, submitted in the form and time specified by the Rector, are assessed. Rector’s scholarship may be awarded to a doctoral student who, in the academic year preceding the academic year for which he is applying for the scholarship, has met the following criteria jointly, demonstrating:
- progress in scientific work,
- progress in the preparation of a doctoral dissertation,
- special commitment to didactic work.
Where did the rector's scholarship come from?
The Rector, in consultation with the Students’ Council of the University of Warsaw and the PhD Students’ Union., determines the amount of the Rector’s scholarship in a given academic year. When determining the amount of the benefit, the following factors are taken into account in particular:
- state of the Scholarship Fund;
- planned expenses;
- a method of allocating funds for universities into student benefits.
The total monthly amount of the social scholarship and the rector’s scholarship may not exceed 38% of the professor’s remuneration.
A doctoral student pursuing more than one doctoral program at the same time may receive the rector’s scholarship for only one of the doctoral studies indicated by the doctoral program.
If the benefit is awarded for more than one doctoral program, the applicant submits a declaration on the selection of the doctoral studies for which it will be awarded. This declaration is also a motion to revoke the decisions granting the benefit for doctoral studies at the University.
Who can apply for the rector's scholarship for PhD students?
The following persons may apply for the rector’s scholarship:
- participants of doctoral studies (including foreign doctoral students who meet the conditions set out in § 32 of the Regulations for benefits for students of the University of Warsaw, constituting an appendix to the ordinance No. 142 of the Rector of the University of Warsaw of October 1, 2019 (UW Monitor 2019, item 318)),
- PhD students who meet the criteria jointly by demonstrating their progress in scientific work, progress in the preparation of a doctoral dissertation, and particular commitment to didactic work.
When is it possible to apply for the rector's scholarship for PhD students?
For a given academic year, the Rector determines the form and deadlines for submitting applications for the rector’s scholarship and their evaluation by doctoral committees applicable to a given organizational unit of the University conducting doctoral studies.
You can apply for the rector’s scholarship in the period from September to October of a given academic year, unless the head of doctoral studies, after consulting the competent authority of the doctoral students’ self-government, presents to the Rector a proposal for a different deadline for submitting applications and their evaluation by the doctoral committee.
How can you apply for the rector's scholarship for PhD students?
To obtain the benefit:
- complete and submit an application for a scholarship in electronic form, available on the USOSweb.uw.edu.pl website in the Common Section > Applications tab;
- upload attachments to the website confirming the fulfillment of the criteria for progress in scientific work, in the preparation of a doctoral dissertation and special commitment to didactic work;
- it is allowed to document the achievements indicated in the application by means of photocopies or scans (in the case of documents in a foreign language, a certified sworn translation into Polish must be submitted. In particularly justified cases, the competent scholarship authority may refrain from requesting a translation of the document in English);
- it should be remembered that only the achievements obtained in the academic year preceding the academic year for which the scholarship is to be awarded are subject to assessment (in particularly justified cases, at the request of the head of doctoral studies, the Rector may consent to the assessment of the achievements of doctoral students who are on a given ranking list, another period, but it must be equal to 12 months);
- finalize the application procedure in electronic form within the deadline set by the Rector.
What do the names on the USOSweb application mean?
Filled in – the application is in the process of completion, you can freely make changes to the document. Please note that applications and statements with this status will not be verified.
Delivered – at this stage you can no longer make changes to the application/statement. From this point on, the documents are subject to verification. To avoid problems related to the submission of the application/statement, make sure that USOSweb shows your email in the UW domain. Don’t put off submitting your application until the last moment!
Declared incomplete/Declared incorrect – during the verification of the application, the coordinator found errors or missing documents. Most often, you will find detailed information on how to improve your application in a comment visible in USOSweb or in your email inbox.
Ready for consideration – document verification has been completed. The application is ready for processing.
Verified – the status of the application indicates that a decision will be made available soon.
Considered (decision to be delivered) – the decision will be made/has been made available in USOSweb. Please be patient as the decision will be made available after it is signed, so it may take a few days for it to appear in USOSweb. The decision can be found in the “list of administrative letters” tab (log in to USOSWeb -> Common Section, and then on the left in the column find the “list of administrative letters” tab).
Rector's scholarship payment dates
Rector’s scholarships will be paid by the Financial Department of the University of Warsaw on the following dates:
- 19 October 2023 (additional date for payment of scholarship compensation for the previous academic year)
- 17 November 2023 (additional date for payment of scholarship compensation for the previous academic year)
- 18 December 2023

- 19 February 2024

Rector's scholarship for PhD students in numbers
Limit values:
The Rector, in consultation with the Doctoral Students ‘Self-Government Board, determines the percentage of doctoral students entitled to receive a scholarship and the method of its calculation, not greater than 10% of the number of doctoral students in each year of doctoral studies (at the request of the commission submitted in consultation with the competent body of the doctoral students’ self-government, the Rector may consent to drawing up one list ranking for doctoral students of all years of study). The number of doctoral students in each year of doctoral studies is determined on the date indicated by the Rector. If the number of students is less than 10, the rector’s scholarship may be awarded to one student.
The rector’s scholarship is awarded for a didactic cycle lasting the academic year and is paid for up to nine months, from October to June.

Glossary of terms
Detailed rules for assessing applications for the rector’s scholarship – a set of rules defining achievements that are recognized under individual criteria. The document is prepared by the doctoral committee of a given organizational unit of the University of Warsaw in consultation with the competent body of doctoral students’ self-government.
Progress in scientific work – a catalog of achievements recognized by the doctoral committee, included in the Detailed Rules for Evaluating Applications for Granting the Rector’s Scholarship.
Progress in the preparation of the doctoral dissertation – a catalog of achievements recognized by the doctoral committee, included in the Detailed Rules for Evaluating Applications for the Rector’s Scholarship.
Particular commitment to didactic work – a catalog of achievements recognized by the doctoral committee, included in the Detailed Rules for Evaluating Applications for Granting the Rector’s Scholarship.
Doctoral Committee – a body operating within a given organizational unit of the University of Warsaw, which assesses applications for a scholarship. The commission is composed of at least three members appointed from among academic teachers working in an organizational unit of the University, holding at least a habilitated doctor degree, including the head of doctoral studies who acts as chairman of the commission, and no more than five doctoral students delegated by the competent a body of doctoral students’ self-government. The doctoral commission is appointed by the Rector of the University of Warsaw.
